Quiet Team AI™ · Solo Agent Academy

The AI Responsibility Map

Every job a solo agent does, sorted into three places: what AI can run on its own, what it drafts for you to approve, and what only you can do. Where AI belongs — and where you do.

“AI handles the timing and the sending. You decide who, and what gets said.”
Automate · runs without you Assist · AI drafts, you approve You · the work you’re paid for
Automate Set it once; the system carries it. No voice required.

The Business

  • SOPs & checklists
The Rules These apply to every row above. No exceptions, on any side.
  1. Client information never goes into free or public AI. Names, addresses, financials, offer terms, and anything from a file belong only in tools your brokerage has approved. A free chatbot is not a private workspace.
  2. AI never infers or acts on a protected class. Race, color, religion, national origin, sex, familial status, and disability stay out of every prompt, tag, segment, and audience — and out of anything AI produces. This is why tagging and lead routing moved out of Automate.
  3. AI does not generate transaction forms. Contracts, addenda, disclosures, and amendments come from your approved forms library. AI may help you understand a form. It may not write one.
  4. Client-facing AI use requires written disclosure. If AI touched what a client receives, they are told, in writing, before it reaches them.
  5. AI-edited and virtually staged photos are labeled. Every altered listing image carries a clear label. A room that does not exist as shown must say so.

Your brokerage’s AI policy governs. Where it is stricter than this map, follow your brokerage. Where this map is stricter, follow the map.

You The judgment a client pays for. AI doesn’t touch this.

Notice how little lives here — the back office can nearly run itself.

Read the bottom band.

On the listing and buyer sides, the You row is full — that’s the work a client hires you for, and the answer to “what am I worth paying for?” In the business column it’s nearly empty — that’s the work that can run itself. Move the busywork to your Quiet Team, and your hours land where your value already is.
