The Service Flow Templates
A repeatable client experience — so every transaction feels handled, and is worth talking about afterward.
Most solo agents don’t lose referrals because they did poor work. They lose them because the experience was uneven — excellent in a quiet month, thin in a busy one. Clients feel that difference, and inconsistency is quiet. Nobody complains. They just don’t mention you.
These three flows map the moments where a client decides whether you are handled or scattered — and what happens at each one. Three PDFs. No email required.
Consistency is the product
You already know what good service looks like. You’ve delivered it. The problem isn’t knowledge — it’s that the experience depends on your capacity that week.
When you’re rested, clients get the weekly update, the written timeline, the closing-week message, the note that asks for nothing. When you’re carrying six transactions, those same touches get shorter, later, or skipped entirely. The client who closed in your busy quarter got a different business than the one who closed in your slow one.
That gap is where referrals leak. Not from bad work — from uneven work.
A service flow fixes the unevenness by deciding in advance what happens, when, and who carries it. Not you, every time, from memory. The system.

The three flows
Together they cover the full arc of a client relationship — the first conversation through the twelve months that decide whether one transaction becomes a source of business.
The Buyer Service Flow
Buyers rarely tell you when they’ve lost confidence. They just get quieter. This flow maps the moments where a buyer decides whether you’re guiding them or chauffeuring them.
- First conversation through the offer
- Consultation, search setup, showing rhythm
- Negotiation through the handoff
The Seller Service Flow
Silence is the only unforgivable stage. This flow maps what a seller is quietly wondering at each point — and the touch that answers it before they have to ask.
- First conversation through go-live
- The weekly update that never gets skipped
- Offer, contract, closing week, handoff
The Post-Close Flow
The transaction is where you earn trust. The twelve months after it are where you keep it. Most agents are strong through Day 30 and disappear after.
- Closing day through Day 90
- Month six, the anniversary, the ongoing rhythm
- The referral conversation, asked plainly
How to use them
Read first. Build one.
These aren’t transaction checklists, and they aren’t meant to be implemented all at once. A flow you actually run beats a flow you admire.
Read the flow once
Start to finish. Don’t edit yet. Just notice which stages you already do consistently and which ones change depending on how busy you are.
Mark the gaps
The uneven stages are where referrals leak. For post-close, check the flow against your last three closings and note where contact actually stopped.
Check the Carried By column
Every touch belongs to someone. If a touch is assigned to you but doesn’t require your judgment, it belongs to your Quiet Team™ instead.
Build one stage at a time
Pick your weakest stage and make that touch automatic before moving to the next. One build, finished, beats nine builds started.
The Carried By key
The 40/30/30 doctrine
Every touch in all three flows is assigned. Nothing is left to memory.
Quiet Team™ ≈ 40%
Your systems: CRM, AI, MLS, file system, templates. Runs whether you’re rested or slammed.
Partner ≈ 30%
Your Edge Business Partner™ — the planner and structure that decides when the touch happens and holds you to it.
You ≈ 30%
Judgment, conversation, and negotiation. The work only you can do — and the reason to protect it.
The point of assigning touches isn’t to remove you from the experience. It’s the opposite. When the routine 70% runs on its own, you show up fully for the 30% that decides whether you get chosen again.
Stay in the rhythm
The flows tell you what to build. The Local Authority Brief™ is the weekly read that keeps you building — market signal, one conversation shift, and one visibility move you can run this week.
